Refund & Cancellation Policy

How registration and slot fees work, when you can get money back, and how to ask for it.

Fees covered

  • Team registration fee: ₹149 per UG member and ₹199 per PG member.
  • Round 1 extra submission slots: ₹50 for the second slot and ₹100 for the third.
  • All payments are made in Indian Rupees through Razorpay.

Refund policy

  • Registration fees are non-refundable once your team has been verified.
  • Refunds are issued only in these cases:
  • Duplicate payment: you were charged more than once for the same registration or slot. The extra amount is refunded in full within 5–7 working days.
  • Failed debit: money left your account but the payment did not complete on our side. It is refunded (or auto-reversed by your bank) within 5–7 working days.
  • Event cancelled by the organisers: every team receives a full refund of its registration fee and any slot fees.
  • Registration refused by us before verification (for example, ineligible team): the fee is refunded in full.
  • Slot unlock fees are non-refundable once the slot has been used for a submission.

Cancellation by a team

  • A team can withdraw at any time by emailing us from its team email. Withdrawal after verification does not qualify for a refund. If you withdraw before we verify your registration, we will refund the registration fee minus any payment gateway charges.
  • Teams disqualified for breaking the Terms & Conditions are not eligible for a refund.

How to request a refund

  • 1. Email [email protected] with the subject "Refund request – <your team name>".
  • 2. Include your Registration ID (shown in Player HQ), the Razorpay payment ID and the date and amount of the payment.
  • 3. For a duplicate or failed debit, attach a screenshot of the bank or UPI statement showing the debit.
  • 4. We confirm receipt within 2 working days and tell you whether the refund is approved.

Timelines

  • Please raise a request within 15 days of the payment date.
  • Approved refunds are initiated within 2 working days of approval.
  • The money reaches the original payment method within 5–7 working days after it is initiated, depending on your bank or UPI app.
  • Refunds are always made to the original payment method. We cannot refund to a different account.
